Attendance Drop? Recognize The Signals

You’re a month away from your chapter’s annual event and you notice a sudden drop in registration. You also can’t help but notice that you have been slow in getting more sponsors this year. But don’t get caught off guard. The signals are there, you just need to be observant and respond quickly.
What should you look for?
First off, use last year’s performance indicators as a point of reference. If your chapter has been around longer, go further back and trace event performance. Looking at your performance on a trend-line makes it so much easier to compare performance while identifying your weak spots.
Second, hard numbers such as in your attendee list, member and non-member registrants, sponsors and exhibitors, expenses, and your time spent on organizing the event are all indicators that help you learn where you are in every point in time. Gathering information about a drop in early registrants for example, is a warning signal you must take into account.
Finally, before and after you identify the drop in performance, get the rest of the board involved. There’s nothing like brainstorming with other members on your team to get a better perspective on problem solving. They might have great ideas on how to overcome a stumbling performance and turn the event to successful. Having a great team depends on involving them in the decision making processes, so don’t take the shine off your team.
